Event Coordinator
Reports to: Coastal Director of Operations and Programs
General Description
The Event Coordinator will work with the Director of Operations and Programs to assist in overall coordination efforts throughout all aspects of the daily office duties, as well as in the field prior, during, and post programming.
This role will have the opportunity to train in all facets of the Hospitality and Event planning industry as well as the
resources to continue education in the event industry. This is a dynamic entry level position for an individual who
thrives on new challenges, deadlines, and multi-tasking in a fun and fast-paced work environment.

Responsibilities
Assist Manager + Director Level Staff with day-to-day business functions
Assist with sales drops – ideation, sourcing, budgeting, design, fulfillment, organization, and prep
Assist with strategic team outings and entertainment – ideation, sourcing, budgeting, design, digital
materials, organization, event setup, execution, tear-down, and follow-up strategies
Assist with site visits – calling vendors, scheduling, site companions and agendas, creative enhancements,
and follow-up strategies
Assist with small individual projects on budget, design, and execution
Manage online network database and maintain records
Assist with administrative tasks such as entering program information into Tess, Dropbox, lead sheets and
Harvest.
Stay abreast of what’s “hot” in DSME destinations and throughout the industry, i.e., new restaurants,
venues, hotels, technologies, etc.
Assist with updating DropBox Resource Library for the Coastal region
Assist with Client Gifting
Vendor call outs to check availability, pricing, inventory, and financial documents
Attend networking functions after business hours
Assist with onsite operations
Job Description
Education and Qualifications
Experience working in hospitality or similar industry preferred
Knowledge of Microsoft Office Suite of products
Bachelor’s degree in hospitality, sales, communications, or relevant work-related experience preferred
